Location: While much of the work can be performed remotely, occasional in-person collaboration or project-related tasks will be required. Must be willing to commute in between Seattle and Gig Harbor when necessary.

Hours: TBD based on workload; set hours are not guaranteed to start.

Pay: Pay is hourly, based on experience and qualifications.

Styled Out West is seeking a highly organized and proactive candidate to support Principal Designer and CEO Jenna Maenhout. In this fast-paced role, you’ll combine your administrative expertise, organizational skills, and client-facing professionalism to manage multiple facets of the business and ensure projects and operations run seamlessly.This hybrid role combines administrative expertise with project and client-facing responsibilities to ensure all aspects of the business run seamlessly. From managing client communications and logistics to assisting on installation days, you’ll play a critical role in driving Styled Out West’s success.

No prior interior design experience is required, but familiarity with design or related industries is a bonus. Please note: This is a 1099 independent contractor position with opportunity to grow alongside a creative and dynamic business overtime.

Key Responsibilities

Office and Administrative Support:

  • Organize and maintain email accounts, Google Drive, Trello boards, and other digital systems.

  • Assist with invoicing and QuickBooks, ensuring payments are processed and tracked.

  • Schedule meetings and prepare relevant details (addresses, notes, client preferences).

  • Set up vendor trade accounts and research new suppliers as needed.

  • Physically and digitally organize the office when necessary, including garbage/cardboard disposal.

  • Purchase office supplies, mail packages, and manage other logistical tasks.

  • Assist Jenna with miscellaneous tasks involving business operations.

Project Support:

  • Prepare all materials for client facing meetings.

  • Assist Jenna during in-person meetings when necessary.

  • Organize and track project deliveries, ensuring all items are accounted for.

  • Coordinate and assist on installation and photography days, including setup, placing products, and managing smooth operations.

  • Respond to client inquiries through office email, maintaining a 24-hour response time.

  • Set up new client projects in Dubsado and Google Drive, including onboarding and workflow management.

  • Draft and manage weekly client project recaps for Jenna’s approval.

  • Ensure seamless client experiences from consultation scheduling to post-installation follow-ups.

Must-Haves:

  • Exceptional organizational and time management skills to keep Jenna, projects, and schedules on track in a fast-paced environment.

  • A proactive self-starter who anticipates needs, takes ownership of tasks, and develops innovative systems to improve efficiency.

  • Proven ability to manage complex calendars, prioritize tasks, and adapt to shifting priorities.

  • Proficiency in Google Drive, Gmail, and Google Calendar is essential for seamless communication and scheduling.

  • Experience with Dubsado is required, with a strong focus on workflow execution and client communication.

  • Comfort with Mac systems (including Notes and Photo Sharing) and a willingness to learn new tools.

Preferred (but not required):

  • Experience with Canva, Pinterest, Instagram, Squarespace, or DesignFiles.

  • Familiarity with interior design or project management in a related field.

  • Ability to assist in creating social media or blog content for Instagram, Pinterest, or Squarespace.
